VetAvailability Inc. (“VetAvailability”, “we”, “us” or “our”) considers the protection of the personal information of each user to be an important aspect of high level service. To this end, in this Privacy Policy we have set out the information principles that VetAvailability follows when we collect, use, disclose and otherwise process your personal information. “Personal Information” is information that can be used to identify or is reasonably capable of being associated with an individual. It is important that you read this Privacy Policy so that you understand how and why we are using your Personal Information.

This Privacy Policy applies to information collected when you interact with VetAvailability’s website and mobile application(s) (collectively, the “Platform”) or when you engage with us in other ways, including by email, phone, mail, or in person. This Privacy Policy does not apply to any other third-party website, even if it is linked to our website. For such third-party websites please review the privacy policies and terms of use associated with that website.

Capitalized terms in this Privacy Policy have the same meaning as defined in our Terms of Use (“Terms”) which is located here.


Collection of Personal Information

We collect Personal Information in two ways: (1) information you provide us; and (2) information we get automatically from your use of the Platform.

Information you provide us

When you sign up for the Platform we may request certain Personal Information from you. Examples of Personal Information that we collect directly from you may include:

  • Identifiers, such your name, alias, email address, unique personal identifier, online identifier, internet protocol address, account name, or other similar identifiers.
  • Geolocation data, including your location and the location of the veterinary clinics that are closest to your current location.
  • Professional or employment-related information, including the company that you represent and information necessary to verify your authority to act on behalf of that company.
  • Other Information You Choose to Provide, such as when you apply for an account, interact with the Platform, or otherwise engage with us, including by email, phone, mail, or in person.

Information we collect automatically

When you use the Platform, we may collect information about your device, including your IP address, the type of operating system and browser you use, and your geographic location (collectively, “Platform Information”).  Platform Information is used to determine your geographic location to identify the Service Providers nearest to you.

We collect Platform Information through the use of cookies.  A ‘cookie’ is a small text file sent from a website and stored on the user’s computer by the user’s web browser. Upon visiting a website that uses cookies, a cookie is downloaded onto your computer or mobile device.  The next time you visit that site, your device will remember useful information such as preferences, visited pages, or logging in options. The Platform relies on cookies to optimize the user experience and ensure our services function properly.

Most web browsers are set to accept cookies by default. If you prefer, you can usually remove or reject browser cookies through the settings on your browser or device. If you remove or reject cookies, it may affect your use of the Platform and your ability to access certain features of the Platform. How We Use Personal Information

We may use your Personal Information to:

  • provide users with the Platform and related services;
  • communicate with you and respond to your comments, questions, and requests, or to provide customer service;
  • authenticate Service Providers for security purposes;
  • administer the Platform;
  • protect our interests, including establishing, exercising and defending legal rights and claims;
  • investigate and resolve complaints;
  • detect, investigate, and prevent fraud, cooperate with law enforcement and regulatory authorities, and to stop other prohibited, illegal, or harmful activities; or
  • monitor and analyze usage behaviour on the Platform.

Additionally, we may use your Personal Information for any other purpose for which you have provided your consent at the time the information was collected or as otherwise set forth in this Privacy Policy.

Who Do We Disclose Your Personal Information To?


Except as set forth below, we will not disclose your Personal Information to any third party.  In addition, VetAvailability will not sell, rent or lease your Personal Information to any third party.

Disclosure to Service Providers

We may use third-party service providers to perform certain services on our behalf, and may disclose Personal Information to such service providers as needed for them to perform these services. Such services may include, but are not limited to, hosting services, document management services, communications services, software and website development services, accounting and audit services, compliance services, quality control services, and analytics services.  All third-party service providers that we disclose your Personal Information to are prohibited from using your Personal Information except to provide their respective services, and are required to process your Personal Information in accordance with this Privacy Policy.

Required Disclosures

There are specific instances where we may need to disclose your Personal Information to third parties. These instances include situations in which we reasonably believe that we need to disclose your information to:

  • comply with applicable law or cooperate with law enforcement or other legal authorities;
  • engage in negotiations or execution of any merger, sale of company assets, financing, or acquisition of all or a portion of our business by another company;
  • protect and defend the rights or property of VetAvailability; or
  • to prevent physical, financial or other harm, injury or loss.

We may also share your Personal Information with your consent or at your direction.

Updating, Correcting, Accessing or Deleting Your Personal Information

Service Providers can update or change their Personal Information by logging in to their account and making the changes manually.

Data Subject Rights

If you live in California, Colorado, Connecticut, Utah, Virginia, or Canada, you may have certain data subject rights. These rights vary, but they may include the right for individuals to: (i) request access to and rectification or erasure of their personal data; (ii) restrict or object to the processing of their personal data; and (iii) obtain a copy of their personal data in a portable format. Individuals may also have the right to lodge a complaint about the processing of personal data with a data protection authority.

You may request details of the Personal Information which we hold about you. We will make available upon request all Personal Information we have on file about you and, where appropriate, we will correct or amend such information upon request.  If you would like to: (i) request access to the Personal Information we have on file about you; or (ii) exercise any of the other rights described in this section, please contact our Privacy Officer as set forth at the end of this Privacy Policy.

Additional Notice for California Residents (California Shine the Light)

If you are a California resident, California Civil Code Section 1798.83 permits you to request information about our practices related to the disclosure of your Personal Information to certain third parties for their direct marketing purposes. You may be able to opt-out of our sharing of your personal information with unaffiliated third parties for the third parties' direct marketing purposes in certain circumstances. Please send your request (along with your full name, email address, postal address, and the subject line labeled "Your California Privacy Rights") to the address listed in the “Contact Us” section below.

We do not share Personal Information with third parties for direct marketing purposes.


Our Platform is not directed to children under the age of 13, and we do not knowingly collect personal information from children under the age of 13 on the Platform. If we discover that we inadvertently collected information from a child under the age of 13 through the Platform, we will promptly delete it.

Storage and Retention of Your Personal Information

Your Personal Information is stored on servers of our third-party service provider located in Canada.

We will retain and use your information for as long as it is required and for the purposes of which it was collected, including as required to: (i) provide services to you; (ii) maintain a record of your membership; (iii) comply with our legal or contractual obligations; or (iv) resolve complaints and disputes. Personal Information that is no longer required will be securely destroyed or erased.

Changes to this Policy

We may amend this Privacy Policy at any time. We will provide you notice of amendments to these Terms by amending the “Last Modified” date at the top of this Privacy Policy. Your continued use of the Platform confirms your acceptance of this Privacy Policy, as amended. If you do not agree to this Privacy Policy, as amended, you must stop using the Platform. Therefore, we recommend that you review this Privacy Policy periodically. 

Withdrawal of Consent

You may withdraw your consent to the collection, use, or disclosure of your Personal Information at any time, subject to legal and contractual restrictions and reasonable notice. To do this, you may contact our Privacy Officer as set forth at the end of this Privacy Policy. Please note that if you withdraw consent you may not be able to continue using the Platform or certain features of it.


VetAvailability uses industry standard Secure Sockets Layer (SSL) to provide security for your Personal Information. VetAvailability uses SSL to make sure that your Personal Information is appropriately encrypted, secured and protected.
